POSITION TITLE: Area Catholic Community (ACC) Business Administrator
​
IDENTIFYING INFORMATION:
Schedule: Full-time
Status: Exempt
Reports to: Pastor
Position Summary:
The ACC Business Administrator is a professional who assists the Pastor with the stewardship of the physical, financial and personnel resources of the ACC parishes. This work includes, but is not limited to: data and records management, phone and email support, supplies and inventory management, communications work, managing use of church space by parish and outside groups, supporting church ministries and committees and collaborating with volunteers. The ACC Administrator will be a resource person for both members and non-members, and a welcoming and responsive presence in our church’s office. The ACC Administrator is a steward of the physical, financial and personnel resources of the parishes and enables the other ministries to function effectively.
Essential Duties:

ACC coordination, function and communication with the St. Cloud Diocese.

Responsible for overseeing financial affairs of each ACC parish including: prepares, administers and reviews budget process in collaboration with the pastor, parish coordinator, or parish director and the finance council;

Parish Life functions and coordination.
-
Oversees the management of each parish’s financial records and coordinates with the bookkeeper to maintain parish financial records including budget analysis
-
Audits tabulation and deposits of offertory collections
-
Acts as liaison between the ACC parishes and the diocese in financial matters
-
Directs management of each parish office; personnel management, personnel policies, hiring and termination procedures, job description, manages payment of salaries and benefits
-
Coordinates employee background and safe environment checks.

Directs purchasing procedures, place orders for supplies and equipment as authorized
-
Directs routine parish maintenance, manages major repairs and renovations
-
Oversees and implements security procedures
-
Coordinates parish liability, property insurance and workers’ compensation with the diocesan general insurance program.

Responsible for communication and coordinates the preparation of the Sunday bulletin, including advertising
-
Ensures the maintenance of the parishes’ census
-
Coordinate the parishes’ calendars, planning for church events and facilities building use by internal and authorized external groups.

Attend pastoral staff meetings, commission meetings and Parish Council meetings, as necessary.

Consult with and advise pastor on business and administrative matters that affect each parish.

Maintain all cemetery records (if applicable)

Funeral coordination of each parish.
QUALIFICATIONS:
-
Experience in business, supervisory or management preferred
-
Experience in a church or other ministry setting is preferred
Knowledge Skills and abilities demonstrating application of the following:
-
Ability to handle sensitive, confidential information with discretion
-
Strong interpersonal communication skills required, written and verbal communication
-
Demonstrated professionalism with the ability to represent the parish
-
Experience with a broad range of administrative duties
-
Knowledge of personnel issues, including policies, procedures, selection, insurance, and employee benefits
-
Working knowledge of construction and maintenance according to diocesan policies and procedures
-
Knowledge of the principles of accounting according to diocesan policies and procedures
-
Familiar with pertinent and applicable civil law in all levels of governments
-
Self-motivated, well organized, detail oriented, and able to effectively work independently within a team framework.
-
Proficiency in QuickBooks, Microsoft Office, email and internet
-
Organization, time management and ability to manage tasks effectively
-
Knowledge of the operation of diocesan deaneries, parish structures and operations preferred
Supervisory Responsibility:
-
This position is responsible for overseeing parishes’ staff and day to day activities.
Working Environment and Required Activities:

This position is in a general office setting
-
Available days and hours of work are generally Monday through Friday
-
Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in a normal office environment

Ability to sit or stand for long periods of time using various office machinery
-
Walking, sitting, standing, stooping, reaching, talking, handling, hearing and carrying
-
Regular travel between parishes
Other Requirements:

The candidate must be a practicing Roman Catholic and in good standing with the Church
-
Must be able to pass a criminal background investigation
-
Must have good driving record, current driver’s license and automobile insurance.
